Aewell Evaluations Privacy Policy
Last updated: 29 October 2026
About this policy
This policy explains how Tranquil City collects and uses your information when you take part in an Aewell evaluation survey. Aewell is our framework for understanding how urban green spaces and public realm improvements affect people's wellbeing and the local environment.
Tranquil City Ltd is the data controller for the information you give us. This means we decide how it is used and are responsible for protecting it. Where we run an evaluation on behalf of a client (such as a local council or landowner), the survey introduction will name them.
- Company: Tranquil City Ltd, registered in England and Wales, company number 10814948
- Registered address: 105A Fordel Road, London SE6 1XT
- ICO registration number: ZB845352
- Contact: hello@tranquilcity.co.uk
Information we collect
We only collect what we need to evaluate the project. Depending on the survey, this may include:
- Your survey answers: how you use and experience the space, your views on nature, noise, comfort and wellbeing, and any comments you write.
- Basic demographic information: such as age group, gender, and ethnicity. These questions are always optional and include a "prefer not to say" option.
- Contact details (optional): your name and email address, only if you choose to enter a prize draw or ask to hear about the results. These are collected through a separate form and are not linked to your survey answers.
- Technical information: the survey platform may record basic technical data such as the date and time you completed the survey. We do not use this to identify you.
We do not ask for your name or contact details in the survey itself. Please avoid including personal details (yours or anyone else's) in free-text answers. If you do, we will remove them before analysis.
Ethnicity and other sensitive information
Ethnicity is treated as "special category" data under UK data protection law. We ask about it only to check that our evaluations hear from a representative range of people and that green spaces benefit everyone fairly. Answering is entirely optional and is only reported in grouped, anonymous form.
How we use your information
We use your information to:
- evaluate the wellbeing and environmental impact of urban greening and public realm projects
- produce research findings for evaluation reports, presentations and publications
- improve the design of future green spaces and the Aewell Framework itself
- run prize draws and send results updates, if you have asked to take part
Your data will not be used for marketing or sold to anyone.
Our legal basis
| What we use | Why | Legal basis (UK GDPR) |
|---|---|---|
| Survey answers and demographics | Research and evaluation of public benefit projects | Legitimate interests (Article 6(1)(f)) |
| Ethnicity and any other special category data | Checking representation and fair access to green space | Your explicit consent (Article 9(2)(a)), given by choosing to answer |
| Contact details for prize draws or updates | Running the draw and keeping you informed | Your consent (Article 6(1)(a)) |
You can withdraw consent for your contact details at any time (see Your rights below).
How we share and store your information
We only share anonymised data. This means it cannot be used to identify you. It may be shared with:
- the client and project partners for the evaluation (for example a council, landowner or university partner)
- readers of our reports, presentations and academic publications, as grouped results and anonymous quotes
- research data repositories, where you have agreed to this in the survey
Results are reported for groups, never individuals, and we do not publish results for groups small enough to identify someone.
Service providers
We use trusted providers to run our surveys and store data. They act only on our instructions and must keep your data secure:
- LimeSurvey — hosts our online surveys
- Mailchimp — manages prize draw entries and updates, kept separate from survey answers
- Dropbox — secure storage of survey data and analysis files
Some providers may store data outside the UK. Where they do, we make sure appropriate safeguards are in place, such as UK adequacy regulations or the UK International Data Transfer Agreement.
Security
Survey data is stored in password-protected, access-controlled systems. Only the Tranquil City team working on the evaluation can access it.
How long we keep your information
| Information | How long we keep it |
|---|---|
| Anonymised survey responses | Kept to support ongoing research and evaluation, including follow-up surveys of the same site |
| Raw survey exports | Up to 4 years after the evaluation ends, then deleted or fully anonymised |
| Prize draw contact details | Deleted within 3 months of the draw, once winners are contacted |
| Contact details for updates | Kept until you unsubscribe or ask us to delete them |
Your choices
- Taking part is voluntary. You can skip any question and stop at any time before submitting.
- Withdrawing your answers: you can withdraw by closing the survey before you submit. Because we do not collect your name with your answers, we cannot identify or remove an individual response once it has been submitted.
- Prize draws and updates are optional. Entering does not affect your survey answers, and you can leave the mailing list at any time using the unsubscribe link.
- Age: our surveys are intended for people aged 16 and over unless a survey states otherwise.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you
- ask us to correct or delete it
- object to, or ask us to limit, how we use it
- withdraw your consent at any time, where we rely on consent
These rights apply to information that can identify you, such as contact details. To use any of them, email hello@tranquilcity.co.uk. We will respond within one month.
